Role Summary

Join our team as the Marketing and Events Coordinator and become one of the authors of our story. As part of the Auberge du Soleil family, you will be responsible for, serving the needs of the business, our guests, and our colleagues by executing cross-functional tasks that are instrumental in helping the sales and marketing, and private dining departments meet/exceed their revenue and project goals.

Pay Range

$25 - $29 / hour

Key Responsibilities

Please note that this is not an exhaustive list of everything that needs to be done! Within the Auberge family, our people always find new ways to look after the business, their guests, and their teammates. Within this, the key responsibilities for this position are:

  • Respond to initial inquiries in a timely manner and distribute leads to appropriate group and event sales managers; enter all new leads and completed program actuals into Delphi for reporting and forecasting
  • Work directly with service managers to assist with site tours, proposals, estimates, schematics, BEOs selling, detailing, and overseeing associated events as assigned based on business levels.
  • Manage third-party vendors as needed based on team and client requirements
  • Serve as the liaison for all internal event requests and service these with the same detail and care given to external clients, including event space reservation, BEO development, and execution.
  • Prepare and distribute weekly BEO packets and Event Summary to the appropriate departments
  • Process all group and event deposits; process contracts, prepare final bills for distribution to clients in a timely manner
  • Organize packaging supplies, maintain inventories and reordering for the hotel’s culinary and logoed products boutique and online retail outlet
  • Provide ongoing administrative support for sales, marketing, and event teams as needed including creating and managing client files, running production reports, and other tasks as assigned
  • Serve as Delphi admin responsible for entering and maintaining data integrity, creating and running reports, and executing changes to system documents and content as directed by DOSM and sales/events teams
  • Enter forecast and actual revenue and run weekly reports to track group and private dining production
  • Support Services Manager with contracted group room blocks to generate pickup and no-show reports for each consumed program to serve as backup for final billing
  • Assist with event and meeting floor plan development in Social Tables
  • Maintain and demonstrate practical knowledge of guest room/suite details along with all meeting/event spaces, including Private Dining Level, Maison d’Arbre, Pool, Spa, Restaurant, Bar, capacities, and setups
  • Manage event and meeting space assignments through Delphi, ensuring system holds are in line with contract provisions as programs are turned definite
  • Assist in managing property image and branding related to logo and approved style-guide usage standards.
  • Assist Marketing Manager with project support involving the website, social media, guest review responses and digital/printed collateral, image archiving, and internal projects as needed
  • Provide support for on-property photo/video shoots
  • Monitor comp set offers, promotions, social posts, and other elements as directed.
  • Assist with coordinating critical details of media/influencer stays and dining experiences
  • Inventory and order all office supplies for the Sales department

Required Qualifications

  • Ability to professionally represent the resort, and interact with clients in a polished, responsible, and timely manner
  • Ability to multi-task and oversee multiple projects at once
  • Must be well-organized, detail-oriented, and demonstrate consistent/ reliable follow-up skills with an appropriate sense of urgency
  • Willingly demonstrates flexibility, creativity, enthusiasm, and a positive attitude
  • Ability to work weekends, evenings, and holidays, as determined by business needs

Preferred Qualifications

  • Minimum of one year experience in a general group sales, private events, marketing or other office experience
