Senior Marketing Events Manager

To be a successful Senior Marketing Events Manager, you should have a passion for making an impact at events and conferences. Your ability to plan and organize teams and vendors to create unique ways to stand out at events with hundreds of the exact same booths should be evident from the start. You should hate boring swag, signage, and event tactics and bring with you a unique, fun, and creative way to ensure that all attendees will walk away from all events and conferences knowing exactly who Proximity Learning is and what we do.
Position Summary:
We are seeking a detail-oriented, responsible event planner to manage the events we attend or sponsor. We are a rapidly growing organization, and you will be expected to own the company event calendar, coordinate with our sales team members and parent company regarding attendance, exhibits, and sponsorship opportunities, and plan off-site events. Once you know the ins and outs of the event, you’ll coordinate directly with the marketing team to manage collateral and printing needs for the sales team. We’re looking for someone who lives and breathes event planning and strategy. You love logistics, planning, finding unique and fun ways to stand out and have impeccable client/vendor relationship skills. We’ve got an event in Louisville? You jump right in and find unique locations for possible social events so we can wow our clients and prospects. In addition to planning events, this person will create a system for tracking expenditures and costs related to events and off-site dinners. You’ll also manage the logistics of mailing swag and booth materials to and from each event as well as keep track of swag quantities and order more as needed.
Responsibilities:
Strategy Development (15%)
- Collaborate with the marketing team to develop event strategies aligned with overall marketing goals.
- Research and identify target audience preferences to customize content and make strategy adjustments.
- Stay updated with industry trends, emerging platforms, and best practices related event marketing.
- Act as PLI’s Customer Conference Expert (internally and externally)
Logistics and Swag Strategy (40%)
- Work with Sales to ensure event calendar is understood and that there is clarity around expectations. Drive clarity around expenses and how pays what.
- Initiate calendar invites to secure attendance from assigned members.
- Partner with sister company Events Manager when co-sponsoring events.
- Own and monitor existing swag strategy to ensure best experience is offered to our customers.
- Develop mechanism to handle quantities and re-orders.
- Logistical powerhouse - event logistics and services coordination, such as ordering services for booths from event space, coordinating transportation for off-site events and many others.
Analytics & ROI (20%)
- Compile and analyze event metrics and key performance indicators (KPIs) to assess the effectiveness of every national event sponsored or attended.
- Generate regular reports on event performance, providing insights and recommendations for improvement. Help the organization have clarity on what is working and what is not working and generate ideas to test and learn.
- Work with Sales track prospect journey towards becoming a client by leveraging HubSpot.
- In charge of monitoring ROI based on leads and new business because of engagement.
- Establish and lead a bi-monthly conference strategy reporting discussion (30 mins) with key stakeholders.
Direct Reports Management (20%)
- Supervise direct report – Marketing Intern – assign role and responsibilities and develop talent.
Special Projects: (5%)
- Lead and contribute to special event projects, such as internal meetings, new platform launches, influencer collaborations, and innovative content experiments.

Requirements:
- Experience in event planning is a requirement
- Proficiency in HubSpot is highly desired
- Ability to travel Nationally as needed to run and manage key events (<20% Travel)
- Degree in PR, communications or hospitality a plus
- Project management a plus. Proficiency in Click Up or Project Management tools a plus.
- Highly organized and process-oriented
- Desire to learn and grow professionally

- Proficient computer skills, namely Google Docs and Microsoft Office Suite
- Candidate will be required to work in our Austin office at least 3 days per week
