The Brand Collective is a full-service Branding/Web/Marketing/PR & Events Agency located in Miami, specialized in working alongside hospitality and lifestyle brands and driven to create authentic brand experiences through design, strategy, digital media, influencer marketing, content development, social media and public relations. We are currently looking for a Traffic Coordinator to join our amazing team.

Our agency can be a hectic place, with multiple teams working on everything from branding, media plans, social media posts, creative marketing strategies, to website builds. The Traffic Coordinator will be the central contact point for all project work that flows through the agency and responsible for ensuring that all projects flow efficiently to the creative, marketing and web departments, scheduled timelines are defined and adhered to and will communicate directly with agency’s clients for delivery and review. The Traffic Coordinator will monitor resource requirements and alert management of the appropriate staffing or freelance needs to maintain efficiency.

Key Competencies & Responsibilities

  • Management and development of project timelines and production schedules in collaboration with Branding, Marketing and Web teams for all print and all digital projects;
  • Organize and update client deadlines and creative workflow for all midsize to larger project scopes and communicate with clients directly;
  • Leads implementation of the client onboarding process and creates documentation, group emails, deadlines and project rollout plans;
  • Establish creative brief templates to ensure timely sharing of required information between all Branding, Marketing and Web teams relevant to new job requests;
  • Work closely with all teams to ensure project timelines are followed, vendor specifications are accurately provided, deliverables are met and clients updated;
  • Responsible for identifying resource gaps based on workflow, making recommendations to the Department Managers and/or President/CEO on appropriate action plans including scheduling amendments or adding vendor resources or freelance staff on a temporary basis as needed to meet needs;
  • Manage Asana project management system - continually optimizing with teams to improve workflow and generate automated reporting on a regular basis for management as well as clients. Collect input from all departments on how system is working, leading the charge with system and flow by making improvements;
  • Support the ongoing training needs of the agency team with an understanding and expertise of the web based tools, how to best use them and the systems in place to manage the project flow;
  • Support the needs of organizing new business requests and proposal/RFP needs and deadlines with respective departments and ensure proposal delivery to client;
  • Support the creation of new contracts, review contract terms and support communication to the Accounting Team to ensure billing and agreements maximizes internal needs;
  • Assist in pre-production planning, scheduling, project management, and vendor bookings for content creation, photography and videography projects;
  • Support the planning and development of new marketing initiatives, helping to streamline content development and approval to increase speed to market;
  • Support marketing, events and promotional calendars needs across all departments;
  • Support server and asset management system protocols across all departments;
  • Develop and present regular analyses of department workflow, accounting and Department Manager needs including key metrics and sales forecasting to support planning and resourcing for all departments, reporting to the President/CEO on needs;
  • Develop daily reports of department priorities which will set the tasks for each day for team members, graphic designers, and copywriters;
  • Make recommendations for and lead daily and/or weekly status meetings with project managers and teams to align on most urgent priorities. Maintain a department file document to ensure all updates are made by team no overlap on team resources;
  • Perform other job related functions as assigned.
  • Involved in creative consultations and meetings with clients and teams to assure appropriate creative strategies, adequacy/accuracy of input, schedules, meeting agendas, budgets, production support, necessary reviews, and client presentations are created;
  • Ensures the timely development and execution of plans, campaigns, and projects workflow to assure resources are met as well as earnings, growth, and goals are achieved;
  • Conceptualize new ways to incorporate emerging tools into project workflow, making recommendations along the way to streamline process and campaigns;
  • Assist in department pricing decisions and evaluating the agency rate card as needed;
  • Adheres to established agency policies and procedures;
  • Manage project changes, scope of work or additional plans;
  • Support the client facing needs, updates and communicate changes necessary for clients with all department projects, tracking time and quantity of changes;
  • Support submissions to web and design awards and participate in ideas to further the agency brand growth;
  • Maintains personal organizational resources and project management manuals, visual data and reporting samples, etc;
  • Protects the Agency's values by keeping information confidential.

Education

Skill Qualifications:

Bachelor's Degree in Marketing or related field of study or any equivalent combination of relevant background, skills and experience.

Experience

Minimum 4 years' experience in Project Management, Traffic or Marketing. Advertising/branding agency experience preferred in a Traffic/Project Management Role.

Knowledge And Skills

  • Thorough understanding of the branding/graphic arts process including basic knowledge of creative programs (Adobe Suite), copy and design functions, and file editing and management needs;
  • Demonstrated working knowledge of marketing project planning and processes within the agency environment for daily functions;
  • Intermediate level skill in Microsoft Office Suite, Google Documents with advanced proficiency with web based project management platforms (Asana or other);
  • Excellent organizational, planning, project, time and budget management skills to handle multiple projects simultaneously, within established deadlines and budget;
  • Excellent verbal and written communication skills to provide clear and succinct information and to internal and external partners;
  • Excellent interpersonal, communication and leadership skills to work effectively in a team and project-based environment;
  • Problem-solving skills to offer sound, efficient and effective solutions with the ability to multitask, prioritize and ‘make things happen;
  • Ability to effectively use diplomacy in conflict resolution and problem solving matters;
  • Work well under pressure and maintain professionalism in a high-paced environment;
  • Proven ability to work well under pressure and thrive, all to meet deadlines, and handle multiple projects simultaneously in an environment with changing client demands;
  • Knowledge of multiple marketing campaign platforms including Sprout, Hootsuite, Constant Contact, Klaviyo, Mailchimp, and SEM Rush, Raven Tools, Yoast, Google Analytics a plus.
