GRIN is on the search for a People Operations Specialist to join our high performing People Operations team. In this role, you will be managing and optimizing payroll processing for our hourly and salaried employees. You will also manage benefits and 401(k) administration for our organization. The person in this role must have superb organizational skills, well-developed project management skills, and keen attention to detail. What will you do?

Payroll Management

  • Perform semi-monthly/bi-weekly payroll calculations, reconciling timecard hours, reconciling/balancing payroll and reviewing salaried employee pay for adjustments such as PTO and time off without pay for approximately 200+ employees in 30+ states within the United States.
  • Enter, maintain, and/or process information in the payroll system; information may include employees hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
  • Ensure proper processing of payroll deductions for taxes, benefits, charitable contributions, and other deductions.
  • Issue, or reissue, physical or replacement checks or direct deposits due to payroll errors or final discharge.
  • Administer Paylocity ensuring data integrity and system functionality
  • Ensure compliance with state tax withholdings (setup and filing)

Benefits Administration

  • Administer various employee benefits programs, such as group health, flexible spending accounts, dental and vision, accident and disability, life insurance, 401(k), and wellness benefits.
  • Administer COBRA
  • Liaison for 401k plan audit, Workers Compensation audit, and annual 5500 filling
  • Support and assist with ongoing employee communication and education around benefits offerings and updates (open enrollment, employee wellness, newsletters, announcements)
  • Experience with administering Leave of Absence for employees in compliance with state and federal regulations
  • Performs reconciliations including but not limited to benefit invoices, 401k and PTO liability to assist Accounting with reconciling variances and/or fluctuations to the general ledger

Compliance

  • Perform quarterly audits of PTO balances, including confirmations from managers of payroll and timekeeping system balances for their employees
  • Address payroll and benefits-related inquiries and concerns from employees’ managers, and the People Operations Team
  • Ensure payroll and benefit plans comply with all applicable federal, state, and local tax laws
  • Completes quarterly benefit audits on all health and welfare plans
  • Responsible for year-end adjustments and W-2 processing and balancing
  • Keeps management well informed of current activities and significant issues

We Are Looking For People Who Have

  • Minimum of 3 years experience in payroll and benefits
  • Experience with an enterprise payroll and benefits system (Paylocity preferred)
  • Knowledge of multi-state and federal tax and payroll compliance requirements
  • Excellent organizational and communication skills
